Ibidem: Importing Records

The Import Records feature on the Ibidem File menu allows you to import records from other Ibidem databases, or from databases that were created in other programs. You can import some or all of the records in the source database to a new or an existing Ibidem database. An entire database can be converted from another format by appending all of the records in that database to a newly created Ibidem database.

To import records, you must first use the program you are importing from to create an export file (a datafile) that contains the records that you want to add to your database. You must know the name of the export file and where it has been stored on your computer. For specific instructions on creating an export file, click one of the links below:

Ibidem Records: Records from other Ibidem databases, or from subsets generated from other Ibidem databases
Zotero: Records from Zotero
RefWorks Records/RIS Format: Records from a RefWorks database and/or records in RIS Format
EndNote Records: Records from an EndNote database
Library Master Records: Records from a Library Master database
ProCite Records: Records from a ProCite database
Citation Records: Records from a Citation database
BookWhere Records: Records that have been imported over the Internet using BookWhere
Custom Format Records: Files with records separated by one delimiter (e.g. new line), and fields separated by another delimiter (e.g., forward slash)

Once the export file (or datafile) has been created, the records can be added to the Ibidem database:

1Open Ibidem and open the database to which you wish to add the records. In most cases, you will want to import to your main bibliographic database. If you do not have a database that you previously created, you can import the records to the My Library database and use that as your personal database.
2Click File, Import Records.
3In the field labeled Destination Database, make sure that the database to which you want to add the records is selected.
4In the field labeled Format of Records to Import, select the format of the records in the datafile that you will add to your database.
5In the field labeled Datafile Containing Records, type the path (location) and filename of the datafile, or click on the browse button to the right to browse to select the export file that you created.
6Click OK to import the records or click Close to abandon the process.

In addition to importing from databases as described above, Zotero citations in a DOCX file can be added to your Ibidem database. See Zotero: Import from Citations in DOCX file.

Archiva, Nota Bene's web research tool, uses a different process to retrieve and import records to your database. See Archiva and Archiva: Append Records.
