Archiva should do an extremely good job of capturing data and inserting it into the correct fields. At the same time, Archiva is only as good as the data it is trying to capture—and some data on some sites is incomplete, inaccurate, or poorly structured. But since you can watch the records getting captured in real-time—and since Archiva lets you edit records immediately—you can make any necessary corrections very easily.

Since the kind of data that Archiva can retrieve and convert varies widely—each database, gateway, URL, bibliographic format, etc., has both different data and different ways of presenting it—the Archiva results databases include a Notes Panel alerting you to the type of adjustments that you might need to make for each record.

In addition to modifications, you might simply want to add additional data—notes, comments, links, etc.


Regardless of the changes you want to make, Archiva makes it easy to modify or enhance the captured or converted records. In addition to the familiar editing options that are also available when viewing and working in Ibidem databases, in Archiva you can:
  • Mark/unmark all records
  • Delete multiple (marked and unmarked records, as well as all) records in a single step

    Once you’ve made any changes you want to make, and decided which of the records you’ve been collecting (in an hour, during the day, or over the course of the last week) you actually want to keep, you can simply pick the name of the database to which you want to add them, and choose one of the append options. It’s that simple.
  • Archiva can add them to multiple databases, should you need that capability for some reason
  • And it’s never necessary to open the destination database first—Archiva handles it all automatically

    Best of all, the append process gives you a powerful set of new editing options—you can compare any record with other similar records, and make whatever additional edits you decide to make after viewing duplicates and/or other similar records.
