Transmitting a Manuscript to Others

 

You should not attempt to send a .MST file, even to a Nota Bene user. Your .MST file can easily be converted to a format that can be attached to an e-mail and transmitted to your professor, colleague, friend or publisher. The best format to choose for transmitting your file will depend on (a) whether the recipient is a Nota Bene user and (b) whether the recipient will need to be able to edit the file.

 

Sending a manuscript to a Nota Bene user

 

1With your manuscript text file open and saved, and click File, Save As.
2Select the following settings in the Save As dialog:
In the Filename box, change the extension from .mst to .nb
If you would like to save the file in a different folder, use the diagram of folder on the left side of the dialog to browse to the folder that you want.
Make sure that the Format box is set to "Nota Bene for Windows."
Make sure that the "Switch to 'Save As' Version" box is checked at the bottom of the dialog.
3Click OK
4The new .nb version of the manuscript will be on your screen. Make a note of the location and file name that are displayed in the colored bar at the top of the file.
5Click File, Close (or press Ctrl+F4) to close the file.
6 Use your e-mail program to attach this file to an e-mail.

The recipient will be able to open the file in Nota Bene. He/she will be able to edit the file in all ways except that they will not be able to change the Ibidem-generated citations or reference lists. If you want your recipient to be able to work with your database, you will need to transmit your database files. The recipient will need to add your database, and reselect the document style (to associate the document with the correct database on his/her computer).. Sending an editable manuscript to a non-Nota Bene user

 

1Follow steps 1 - 3 above to create an .nb version of the manuscript.
2Click File, Save As and select the following settings in the Save As dialog:
Change the Formats box to "RTF (Rich Text Format)." The extension in the Filename box will automatically change to .rtf.
If you would like to save the file in a different folder, use the diagram of folder on the left side of the dialog to browse to the folder that you want. Make a note of the location and filename as shown in this dialog.
3Click OK. The file will be created in the folder you selected. You will be asked if you want to view the file. If you have Microsoft Word on your computer, and if the .rtf extension is associated with Microsoft Word on your computer, the file will open in Word and you can view it and then close it.
4 Use your e-mail program to attach this file to an e-mail.

The recipient will be able to open the file in Word, WordPerfect or Nota Bene. There will no longer be any dynamic link to your database, so any editing of footnotes, end notes or reference lists must be done manually.

 

Sending camera-ready copy

 

If the recipient does not need to edit the document, it can be sent as a PDF file (Portable Document Format). This format can be read and printed using the free Adobe Reader. Additional software is required to produce PDF files. PDF writing software is available from Adobe, or the lower priced pdfFactory is available from www.fineprrint.com. pdfFactory installs like a printer, and once installed, a PDF file can be created from an open Nota Bene document by clicking File, Print and selecting pdfFactory in the Printer box of the Print dialog.
