Extracting Notes |

Some publishers require that authors submit footnotes or endnotes in a separate file. With Nota Bene, you can extract the notes from your file, so that you can submit one file with superscripted numbers showing the position of the foot/end notes, and a second file containing only the notes. When you extract notes, the original file is unchanged, and two new Nota Bene files are created. A new file containing the notes only will be given the .N#1 extension. A new file with superscripted numbers remaining, but notes deleted will be given the .N-1 extension. If you are using more than one series of notes, the extensions .N#2 and .N-2 are used for series 2 notes, and .N#3 and .N-3 for series 3 notes.
To extract notes, creating these two new files:
The two new files will be created and saved in the same folder as the original file. These two new files are Nota Bene files with the same name as the original file, but with different extensions, as described above. If you need to send these files to a publisher in RTF format, they can be saved as RTF files. Note however that when you save to RTF format, you will need to give the files separate names. Your original NB file remains intact after extracting notes, with the notes still in place.
Reinsert Notes: Notes that have been extracted can be reinserted back into the source document. While the notes are extracted into two separate files, a whole series of useful new functions are available. You can edit notes or you can move or delete notes in the extracted-notes file (N#1). Notes, including Ibidem citations, can be added to the source-extracted-notes file (N-1), without affecting reinsertion. To reinsert extracted notes, click Format, Notes, Reinsert Notes. A new untitled file will be created with the notes reinserted.
Synchronize Paired Files: After extraction, you can synchronize the pair of files that you just created (the N#1 file and the N-1 file) so that you can go the same place in the other file. To synchronize the files, click Format, Notes, Synchronize Pair or right-click in either file, and choose Synchronize Pair.
Send to Extracted Notes: To add a note after you have extracted notes, just add the note to the N-1 file and then click Format, Notes, Send to Extracted Notes. The note will be added to the N#1 file.
Remove Note From File: Place your cursor on the note that you wish to remove in the N#1 file and click Format, Notes, Remove Note From Pair. The note will be removed from both the N#1 file and from the N-1 file.
