Add/Remove Files Dialog

 

The Add/Remove Files Dialog is used to select the folders and/or individual files that you would like to include in an Orbis textbase. It is used when you create New Textbase: Files/Folders Selected by User or New Textbase: Predefined Orbis Formats or New Textbase: Custom Format.  It can also be used to add files to an existing textbase, or to remove files. From within Orbis, you can access this dialog at any time by clicking File, Nexus Options, Add/Remove Files or by pressing Alt+A.

 

At the bottom of the dialog, there is a System View tab that is used to select folders and a Textbase View tab that shows which folders and/or files have been selected for inclusion in the texbase. Click these tabs to switch between System View and Textbase View.

 

To select files and/or folders to include in your textbase:

 

1 With the System View tab active, use the two panes on the left to browse to the first folder that you wish to include in the Orbis textbase. Click the plus sign next to Quick Access to show folders that you commonly use. Click on the folder in the second pane to select it. The files in that folder will be listed in the panel at the bottom right of the dialog.
2For this folder, you can select specific files to be included, or you can select all of the files in the folder that are of specified file types. If you want to include all files, you can include the files in all subfolders as well as the files in the folder that you have selected.
To select individual files to include in the textbase, click on the file in the bottom right box and then click the green plus sign (or press Alt+T). Repeat for each file that you would like to include. Individual files that are included in the textbase will be shown in a blue font on a light orange background.
To select all of the files in the folder of a specified file type, use the icons at the top right of the dialog. Click the icon itself to select a format, or click the + sign to the right of  the icon to select the format and apply it to subfolders as well as the specified folder. If you have not purchased Orbis+, you will only be able to search .NB files and you should click either .NB or the plus sign to the right of .NB. If you have purchased Orbis+, then you can use the PDF, DOCX, DOC, RTF, HTML icons (or the + signs next to them) to include these formats in your textbase. If you would like to include all formats, use the multicolored All Files icon to include all files.  
Note that if you use the multicolored All Files icon, or if you include PDF, DOCX, DOC, RTF and/or HTML files in your textbase, it will take longer to build the index (but searches will still be virtually instantaneous).
3 Repeat steps 1 and 2 for each folder that that contains files that you want to include in the textbase.
4At any time you can click the Textbase View tab to see which folders have been selected for this textbase.
5 When you are finished, click Index to create the textbase. Indexing can take a few minutes, or longer. However, once indexing is complete, searching will be almost instantaneous. The Orbis Indexer will be displayed at the bottom of the screen. While the index is being created, the files can be displayed as they are being indexed by clicking the plus sign in a green circle to show and the minus sign in the green circle to hide. When the indexing process is complete, you will be asked if you want to open the textbase.

 

To remove files, folders or file types from your textbase:

 

1 With the textbase open, click File, Nexus Options, Add/Remove Files or press Alt+A to open the Add/Remove Files dialog.
2With the System View tab active, browse to the first folder that contains files that you wish to remove from your textbase. The files in that folder will be listed in the panel at the bottom of the dialog, and the file types will appear in the the panel at the top right of the dialog.
To remove the whole folder, click the Omit Selected Folder icon (a red circle with an X) at at the top of the Textbase Radius panel, or press Alt+O.
To remove a file type, click on the file type in the File Type panel to select it, then click the Remove This File Type icon (a red circle with an X on top of a 4-color square) at at the top of the File Type panel.
To remove an individual file, click on the file in the Files panel to select it, then click the Remove Existing File icon (a red circle with an X) at at the top of the Files in Folder panel, or press Alt+X.
3 When you are finished, click Index to recreate the textbase.
