New Subset

 

To create a subset you must first choose the records to be included in the subset. Use one of the following methods to choose the records (or use a combination of the first and second or first and third of these methods):

 

Use the Quick Search Bar or the Search/Query Pane (key/fast search or text search) to search the database for the records you want to include. For example, search for all of the records with a particular word in the keyword field.
Click to check the box next to the record number for each record that you want to include.
Click to check the box next to the record number for each record that you do NOT want to include.

 

Once you have selected the records to include (or the records that will be omitted), open the Subset Pane (click View, Subset Pane) and click the Save/New button. This will open the Subset: Save/Append dialog which can be used to create a new subset as follows:

 

1Select one of the four options at the top for the records to be included in the subset.
2Enter a name for the subset.
3Set the options for updating the subset.
4Click Save to create the subset.

 

The following options and settings are available on the Subset: Save/Append dialog:

 

Records in Database

Count of the total number of records in the database.

 

All Records in Subset

Click this radio button to include all of the records showing on the Ibidem screen in the subset. The number of records to be included is shown (4 in the example above).

 

Marked Records

Click this radio button to include only the records that you have marked on the Ibidem screen by placing a check mark next to the record number. This option will only be active if at least one record has been marked.

 

Unmarked Records

Click this radio button to include all the records showing on the Ibidem screen except those that you have marked by placing a check mark next to the record.

 

Subset name text box

Enter the subset name in this box. For example, if you selected the records to be included by searching the keyword field for "history," you could call the subset "history" or "keyword: history"

 

Save

Saves the subset with the name you have assigned for it.

 

Append

Adds the current subset to another subset.

 

Manage

Opens the Subset Management dialog.

 

Update options

 

Update Automatically: Records matching criteria for the subset are automatically added to the subset.
 
Update on Confirmation: You will be prompted to add a record matching the criteria to the subset.
 
Non-updating: New records matching the criteria will not be added to the subset.
