Ibidem embeds into the user's document the location of the Ibidem database being used by that document. If you share your file with a colleague, the citations and bibliography will not compile properly unless (1) your colleague has exactly the same Ibidem database on his/her computer and (2) the database has been added to your colleague's Ibidem database list and (3) the path that is embedded in the file accurately reflects the path to the database on the computer that is being used.
There are two ways to make sure that the path to the database is exactly the same. Method I is recommended.
Method I: Set Reference Style Dialog
| 1 | Open the file that has just been received on the recipient's computer. |
| 2 | Press F7 to open Ibidem. |
| 3 | On the Ibidem screen, click Cite, Set Reference Style. The Set Reference Style for Current Document dialog will appear on your screen. |
| 5 | Click to highlight the name of the database that is being used for the open document. Click OK. Ibidem will change the path specified in the codes of the open document so that it corresponds with the path on the computer that is being used. |
If the name of the database that was used when the document was written does not appear on the General tab, then make sure that the database has been copied and that it has been added to the Ibidem database list. See Copying a database and Adding a database.
Method II: Edit Document Codes
After receiving your file and your database, your colleague can edit the codes so that the file will reflect the path on his/her computer. To do this, your colleague must know the name of the database used and the path to that database on his/her computer.
| 1 | Open the file that has just been received on the recipient's computer. |
| 2 | Press Shift+F8 to go to Show Codes View. |
| 3 | Press Ctrl+Home to go to the very beginning of the file. |
| 4 | Press Ctrl+F to open the Find and Replace dialog. |
| 5 | Type GC into the box marked "Find" |
| 6 | Click the Find Next button. Your cursor will go to something like the following: GC | OP DB=C:\NBWIN\IBIDEM\DATABASE\DATABASE; The path and file name that appears after GC | OP DB= is the path and filename of the Ibidem database that was used in writing the file. |
| 7 | Edit this path and filename to correspond to the drive, folder(s) and filename of the Ibidem database on the recipient's computer. |
| 8 | Save the file (press Ctrl+S, click File, Save or click the Save Document button at the top of the screen). The change you just made to the file will be saved permanently. |
| 9 | Press Shift+F5 to return to Page Layout View (optional). |
The file that was transferred will now be able to compile citations and bibliographies on the computer of the recipient.
