To insert a hyperlink in your document, you must first add it to the Hyperlinks dialog. Then it can be inserted directly from the dialog and it will appear in green and underlined.Once a hyperlink is inserted in your document, it will appear as green underlined text and can be activated by double-clicking on the green underlined text.
To add a hyperlink to a web page (URL), an e-mail address, a Nota Bene file, a Paint file (BMP) or a file associated with any program on your computer:
| 1 | Click Insert, Hyperlink or press Ctrl+K. The Hyperlinks dialog will open. |
| 2 | Click to select one of the Hyperlink Types in the list on the left side of the dialog. A brief description of the selected Hyperlink Type will be shown in the box below the list. |
| Web: Inserts a link to a webpage. Double clicking on the link will open your web browser (if it is not already open), and the webpage that you specify. |
| Email: Inserts an email address into the document. Double-clicking on the hyperlink opens your email program to send an email to the specified recipient. |
| Auto: Inserts a link to a non-NB file in Windows. The application used to open the file is determined automatically by Windows based on the file type. |
| NB File: Inserts a link to another Nota Bene file. Double-clicking on the link will open the NB file in a new window. You can also specify a particular point in the file to go to when the file is opened by typing the text in that portion of the file in the "Text in File" box. |
| Paint: Inserts a link to a file that will be opened in Microsoft Paint. Double clicking on the link will open Paint and open the specified file (these are most often .BMP images). |
| Orbis Search: Creates a link to an Orbis search string. Double-clicking on the link in a document will open Orbis and perform a search for a term or string that you specify (in the "Search String" box) in a specific textbase that you must also specify. For example, you can insert a link that will search your entire textbase for the term "Authority." Orbis Search links are "dynamic" links, and are ideal for linking to textbases whose content changes frequently. |
| Orbis Match: Creates a link to an Orbis match. Double clicking on the link in a document will open Orbis and retrieve a particular record from your textbase. This will not initiate a search for a particular term in Orbis (as an Orbis Search link would). Rather, Orbis will only display the particular record to which you link. Orbis Match links are"static" links, designed for focused retrieval of matches in textbases whose content does not change. |
| Both Orbis Search and Orbis Match links should normally be inserted from the main Orbis dialog. |
| Advanced users can also create a customized Link Type. To do so, press the New button below the list of Link Types. This will open the New Link Type dialog. Type the name and description of the link type in the appropriate boxes. Then type the Program Launch String if you want a file to open in a particular program when you double click on the link. |
| 3 | Once you decide which type of link you will be inserting, fill in the information in the top two boxes of the dialog ("Description" and either "URL," "Filename," etc.). If you are adding a hyperlink to a file on your computer (a Nota Bene file, a Paint file or any other file), the browse button with the three dots will be active and you can click it to browse to the file that you want to select. The text that you type into the Hyperlink Description box will be the green text that you see in the Nota Bene file when the hyperlink is inserted in the file. It can be the same as the URL, e-mail address or file name/path, or it can be different. For example, if you want to use an active hyperlink to direct people to the webpage www.notabene.com, you might want the text in the document to say something like, "Go to www.notabene.com" or you might want to say "Go to the Nota Bene homepage." In either case, www.notabene.com would be in the URL box. |
| If you are inserting a link to an NB file, and you want to go to a particular place in that file once it is opened, type the text in the file that you want to go to in the "Text in File" box. You can also type formatting commands in this box (using Ctrl + < and > for the opening and closing markers). When the link is opened, the cursor will go to the first occurrence of that text and/or command in the linked file. |
| If you are inserting an Orbis Search or Orbis Match link, you must also specify the textbase to be searched in the region below the Description and Search String boxes in the Insert/Edit Links dialog. |
| 4 | Click Add to List to add this hyperlink to the list of hyperlinks that can be inserted from this dialog. This list makes it easier to insert the same link more than once. You can simply select the link from the list without retyping the required information in the "Description" and other boxes. |
| 5 | Click OK to insert the hyperlink in the file. |
There are two ways to change a hyperlink that was previously added. You can make a change to all hyperlinks of a certain type by editing the hyperlink in the list of available links (method 1), or you can make a change to one particular hyperlink in the file.
To make a change to all hyperlinks of a certain type by editing the hyperlink in the list of available links:
| 1 | Click Insert, Hyperlink or press Ctrl+K. The Hyperlinks dialog will open. |
| 2 | Click to select one of the Link Types in the list on the left side of the dialog. |
| 3 | The hyperlinks that are available for each type will be listed in the box on the right. Click to select one of these links. The information for the selected hyperlink will be displayed in the two boxes at the top of the dialog. Make any changes that you want to in those boxes. |
| 4 | Click Edit List to save the changes that you have made. |
| 5 | Click OK to apply those changes to all occurrences of that link in the file. |
To make a change to one particular hyperlink in the file:
| 1 | Place your cursor on the link and press F3 or press Ctrl+K. The Hyperlinks dialog will open. |
| 2 | The information for the selected hyperlink will be displayed in the two boxes at the top of the dialog. Make any changes that you want. |
To insert a hyperlink into an open file:
| 1 | Make sure that the hyperlink has been added to the Hyperlinks dialog. |
| 2 | Place your cursor at the point in the document where you want the link to be inserted. Click Insert, Hyperlink or press Ctrl+K. The Hyperlinks dialog will open. |
| 3 | Click to select one of the Hyperlink Types in the list on the left side of the dialog. |
| 4 | The hyperlinks that are available for each type will be listed in the box on the right. Click to select one of these links. |
| 5 | Click OK to insert this hyperlink in the document at the point of the cursor. |
NB: If you copy a file to another computer, and the file contains a hyperlink to another file, the hyperlink will not work unless the file structure on the two computers is identical. In other words, when you open the file on the second computer and double-click on the hyperlink, the program will look for the linked file on the drive and in the folder where it was found on the first computer. It will find the proper file only if the drive, the folder (and any subfolders) and the name of the linked file are identical on the second computer.
