Annotations

 

Annotations are non-printing notes that are inserted in a document. They can be used to insert reminders to yourself such as "expand this section to include discussion of Latif's research" or "check the dates." If you are sharing your file with a colleague who has Nota Bene, annotations can be used to communicate with your colleague without modifying the document itself. Normally, annotations do not print and are not displayed in the document. If the document is converted to RTF or PDF format, the annotations will not be included in the converted document. However, there is an option to display the annotations as footnotes or endnotes. See Print/Display Annotations.

 

Several different series of annotations are provided and can be used for different purposes, and you can define or choose your own uses for different series of annotations. See Annotation Types.

 

When an annotation is inserted in a document, an NT command with the full annotation is inserted at the position of the cursor and is visible in Show Codes view.  A non-printing marker is displayed in Page Layout view,

 

The Annotation Dialog Bar is used to insert, review, edit and delete annotations.

 

To insert an annotation:

 

1Place cursor at the point of the document at which the annotation is to be inserted.
2Press Alt+A or click Insert, Annotation to open the Annotation Dialog Bar.
3Select the type of annotation desired from the drop down list at the top of the dialog.
4Type the text of your annotation in the large white window at the top of the dialog.
5Click Insert to insert the annotation in the document.

 

To view and edit annotations:

 

The lower part of the Annotations dialog is used to move amongst annotations and to edit existing annotations. This dialog can be opened as described above or by positioning the cursor on the annotation marker to be viewed and/or edited and pressing F3. The cursor is properly positioned on the annotation marker when the annotation is reflected on the status line at the bottom of the Nota Bene screen.

 

You can choose to show all annotations ("All Types") or just those of the same type as the one selected ("Current Type"). Move to a different annotation in the file by clicking Previous or Next, or by selecting an annotation from the drop down list.

 

Annotations can also be edited in Show Codes view by searching for the NT/ commands and editing the text that is within the command brackets, and immediately following NT/X (where X is a number between zero and 9).

 

Annotation Options:

 

Show Annotations in File Using Icons: If this box is checked, the non-printing annotation markers shown will be visible in Page Layout view. If it is unchecked, there will be no sign of the annotations in Page Layout view. In either case, the annotation codes will be visible in Show Codes view, and the annotations will be accessible through Annotations Dialog Bar.

 

Show Annotations Icon Bar:

 

Keep Open: If this box is checked, the Annotation dialog will remain open after inserting or editing an annotation. If it is unchecked, The dialog bar will close.
