To assign a phrase or a block of text to a key as part of your phrase library:
| 1 | Type the text to be assigned or find it in your document and it. This step can be omitted if you prefer to type the text directly into the dialog box. See step 4. |
| 2 | Click Edit, Phrase Library, Assign or press Alt+F1. The Phrases: Assign dialog will appear. |
| 3 | Specify the key to be assigned to the text in either of the following ways: |
| • | Type the letter or number of the key you want to assign to the text (a-z or 1-9 using the keys at the top of your keyboard, not the numbered keys on the side of your keyboard). |
| • | Scroll through the list in the top part of the dialog and highlight the key you want to assign |
| 4 | The text to be assigned will be in the box at the bottom of the dialog. You can edit it directly in this box, or if you skipped step 1 above, you can type the text into this box. |
| 5 | Just above the text box mentioned in step 4, and on the right is a description box. You can use this to add any notes about the content of the text you are defining. In most cases, the content of the phrase itself will be sufficient description and it is not necessary to have any additional description. However, a description may be helpful, particularly for a long block of text. |
| 6 | After completing steps, 3 - 5, you should see the key to be assigned highlighted in the top half of the dialog. In the bottom half of the dialog, the text or "phrase" will be in the box at bottom, and just above this box will be the letter or number of the key on the left and the description (if any) on the right. Click Assign to make this assignment, or Cancel to cancel. |
If the text to be defined is formatted, you need to make sure that all of the formatting codes are included. If you define the text in Show Codes View, you will be able to see which formatting codes are included in the block you are assigning.
