Send To

 

Nota Bene files can be sent via email as an attachment in Nota Bene format, as an attachment in PDF or RTF format, or as text in the body of an email. If the recipient Is a Nota Bene user (any version), he/she will be able to open a Nota Bene file. If the recipient does not have Nota Bene, an RTF file can be opened and edited in Word, WordPerfect or another program or a PDF file can be opened by Adobe Reader.

 

The Send To option on the File menu works differently depending on the default method of sending email that has been set up on your computer. If you use a desktop email client like Mozilla Thunderbird or Microsoft Outlook to access your email, you will be able to use the first 4 options on the File, Send To menu. If you go directly to a web site to access your email (e.g. gmail.com, aol.com, yahoo.com, etc.), you will use one of the 3 options in the Save to Clipboard (Webmail) section of the File, Send To Menu. Desktop Email Client

 

If you use Mozilla Thunderbird or Microsoft Outlook or another email client to send and receive email, you will be able to attach an open file directly to an email. To do this, open the file you wish to send and click File, Send To. Then select one of the following options:

 

Attach/Send NB File: The open Nota Bene file will be attached to an email.
Attach/Send PDF File: The open Nota Bene file will be converted to PDF and attached to an email.
Attach/Send RTF File: The open Nota Bene file will be converted to RTF and attached to an email.
Send Text to Body (Limited): The highlighted text and/or the file will be pasted into the body of an email. There is a limit of 1,000 characters and formatting will not be preserved. You can increase the length of the text to be sent directly up to 8000 characters (in the configure option), but if you do so, you should test it (without unsaved files open) to make sure it works with your email.
Save Text to Clipboard (Enhanced): The highlighted text and/or the file will be saved to the clipboard and a new email will be opened. When you go to the new email, you can paste (Ctrl+V) the text from the clipboard into the body of the email. The 1,000 character limit does not apply to this option. Pasting text will preserve almost all formatting if the email program can accept RTF text (most can), and if that is the active selection in the email (Outlook, for example, has HTML, Plain Text, and Rich Text Format options)

After you select one of the above options, go to the email that has been opened to complete the fields for sender, subject, etc. and to send the email.

 

Webmail

 

If you access your email directly through a web site, and do not use a desktop email client, security provisions will prevent you from directly attaching a file to an email. Instead, you will need to save the file (or text) to the clipboard and then paste the attachment or text onto the email. Open the file you wish to send, click File, Send To and select one of the following options in the Save To Clipboard (Webmail) section:

 

Name of NB File: The path and name of the open Nota Bene file will be saved to the clipboard and an email will be opened.
Name of PDF File: A PDF version of the open file will be created and saved in the same folder. Its path and name will be saved to the clipboard and an email will be opened.
Name of RTF File: An RTF version of the open file will be created and saved in the same folder. Its path and name will be saved to the clipboard and an email will be opened.
Text to Clipboard (Enhanced): The highlighted text and/or the file will be saved to the clipboard and an email will be opened.

After you select one of the above options, go to the email that has been opened and paste (Ctrl+V) the filename into the attach field or paste (Ctrl+V) the text into the body of the email. Then complete the fields for sender, subject, etc. and send the email.

 

If you have webmail, but would like to use the simple Send To procedure described in the Desktop Email Client section above, you may wish to install a desktop email client and use it to access your webmail account.
